Client challenges

Overall, the client was increasingly dissatisfied with the current IP Management System, experiencing inefficient work-arounds, incomplete data sets and poor User Experience (UX) design. However, some user groups were very pleased with the existing solution, so management saw a full IPMS migration as a last resort option only. An underlying reason for this split view, was unclear view of the wanted way of working and thereby difficulty to express the needed IPMS functionalities and system reqs.

Approach and Impact

The client engaged Konsert to map existing processes and propose adjustments for efficiency improvements , identify pain points in the existing IPMS based on the process adjustments, and define requirements to guide the decision on upgrading/replacing the IPMS.

Resulting in:

  • Strong bargaining position in negotiations with IPMS vendors on how to fill the gaps
  • Reduced time, resource needs and risks in the IPMS upgrade/transition period, enabled by clear, feasible and quality assured requirements
  • The upgraded IPMS significantly reduced lead times in first filing process and significantly raised satisfaction among all key user groups
